Posting Summary

Rutgers, The State University of New Jersey, is seeking a Program Assistant, for the Division of Molecular Biology & Biochemistry at the Rutgers Cancer Institute of New Jersey.

The Program Assistant assists with the development, implementation and monitoring of programs within the Basic Science Research Division.

Among the key duties of this position are the following:
• Responsible for confirming schedule of appointments, proactively addressing conflicts and managing the daily calendar of the Deputy Director.
• Coordinates office operations, including: forms, secretarial/clerical work, space and office equipment, internal reporting systems and ordering supplies and materials. Suggests methods for office improvement.
• Responsible for coordinating the Director’s travel and conference arrangements. Manages travel tracking spreadsheet and prepares travel documents and materials.
• Responsible for processing all check requests, purchase orders, travel approvals, travel reimbursements, and honor aria. Ensures that expenditures are in accordance with allocation of funds and tracks that all payouts are completed.
• Coordinates reservation of facilities, speaker schedules, catering, AV, and the overall set up of meetings. Liaison with building facilities to insure maintenance requests are addressed. Creates sign-in sheets and maintains accurate attendance records.

Minimum Education and Experience

• Bachelor’s Degree in Business Administration, Social Science or a related discipline.
• Two (2) years of related experience in a business office, government agency or university setting.
• Equivalent education, experience and/or training may be substituted for the degree requirements.

Required Knowledge, Skills, and Abilities

• Proficiency with database and reporting tools such as Microsoft Word, Excel, Access and PowerPoint.
