Posting Summary

Rutgers, The State University of New Jersey, is seeking a Grants Coordinator (Contracts) for the Office of Research Administration at the Rutgers Cancer Institute of New Jersey. The primary purpose of the Grants Coordinator (Contracts) is to assist resident faculty with tracking and processing research related contracts and also assist resident faculty in acquiring external sponsors to financially support their research programs. The primary responsibilities of the Grants Coordinator are completing the administrative contracts/grant application documents, compiling grant applications and ensuring timely submission of grants and contracts to respective agencies in accordance with their application rules and regulations. Among the key duties of this position are the following:

• Serves as a resource for developing contracts/grants submissions.
• Provides assistance to investigators preparing research contract submissions and grant applications in RAPSS.
• Manages the process and communication system by which the research contract documents are reviewed, approved, distributed and filed in an efficient and timely manner.
• Monitors and obtains IRB approval notices for clinical trial studies in OnCore Enterprise Research System for awards set-up in RAPSS.
• Maintains integrity and quality control of historical databases, website and spreadsheet modification updates, including electronic and hard copy databases of all research contracts.
• Maintains a file of current contract and agreement templates, including but not limited to, Material Transfer Agreements (MTAs), Confidential Disclosure Agreements (CDAs), and Clinical Trial Agreements (CTAs).
• Manages the development and design of programs to facilitate Cancer Institute of New Jersey research contracting.
• Develops and maintains programs that facilitate orientation and training of new faculty and their support staff.
• Prepares, compiles, and submits applications, including, but not limited to: budgets, justifications, and grant form pages for agency deadlines.
• Submits grants and contracts in a timely fashion to respective agencies in accordance with their application rules and regulations.
• Interprets/translates sometimes complex and/or contradictory grant application regulations and applies that knowledge to grant application.

Minimum Education and Experience

• Bachelor’s Degree in Business Administration or related field.
• Three (3) years administrative experience in pre-award research administration and/or grants and contracts administration.
• Equivalent education, experience and/or training may be substituted for the degree requirement.

Required Knowledge, Skills, and Abilities

• Must demonstrate the ability to work under pressure to prioritize and to make logical decisions based on available information.
• Effective oral and written communications skills.
• Must demonstrate the ability to interact with all staff in a positive and motivated style.
• Must demonstrate the ability to solicit cooperation from staff in achieving time lines and a uniform standard of values and quality.
• Must demonstrate the ability to maintain confidentiality, remain open to others’ ideas and exhibit willingness to try new things.
• Must demonstrate the ability to interpret sometimes complex and/or contradictory grant application regulations and deal effectively with ambiguity.
• Time management and efficiency skills are critical to this position.
• High level of stress and periodic long hours are required due to deadline driven workload.
• Must be computer literate with proficiency and working knowledge of databases and reporting tools such as Microsoft Word, Excel, Access and PowerPoint.

Preferred Qualifications

• Accounting/finance experience.
• Background in Community Relations, Health or higher education.
• Experience in an academic research institution that conducts Clinical Research Trials.
• An understanding of principles and procedures involved in processing grant applications.
• A working knowledge of agency rules and regulations.
