Rutgers University Behavioral Health Care (UBHC), established in 1971, offers a full continuum of evidence based behavioral health and addiction services for children, adolescents, adults, and seniors throughout New Jersey. UBHC’s 1,060 experienced behavioral health professionals and support staff are dedicated to treatment, prevention, and education. UBHC, one of the largest providers of behavioral health care in the country, has a budget of $260 million and has 15 sites throughout New Jersey. Services are readily accessible and include: inpatient, outpatient, partial hospitalization, screening, crisis stabilization, family/caregiver support, community outreach and case management, supportive housing, supported employment, prevention and consultation, employee assistance programs, and a licensed therapeutic school from preschool through high school. Specialty services include the New Jersey suicide prevention helpline and peer help lines for police, veterans, active military, teachers, mothers of special needs children and child protective service workers. In FY2016, UBHC treated 16,199 consumers, had 24,502 admissions, and touched the lives of 19,441 individual callers through peer support. In addition, UBHC is the primary mental health training resource for the New Jersey departments of Human Services, Children and Families, and Corrections, delivering 16,000 trainings each year.

Posting Summary

Rutgers, The State University of New Jersey is seeking a Secretary II for the Child & Adolescent Inpatient Unit at Rutgers, University Behavioral Health Care.

Provides a variety of secretarial and admnistrative services to Acute Inpatient Services.

• Receives and assists clients and visitors.
• Schedules appointments for clients in an accurate, timely professional and courteous manner utilizing UBHC computerized systems following guidelines set by the department.
• Telephones clients to confirm appointments in an accurate, timely professional and courteous manner.
• Maintains office supplies and equipment necessary for efficient functioning of unit.
• Completes typing from tapes or drafts with 90-95% accuracy and ensures completion of typing assignments in accordance with established unit format.
• Submits assignments within pre-established timeframes as noted by supervisor and feedback from staff.
• Inputs and retrieves data and information stored in computer and databases and updates as required.
• Coordinates meeting arrangements on an as-needed basis in a professional and courteous manner as noted by supervisor.
• Prepares and distributes minutes using the Joint Commission format within appropriate timeframes as indicated by supervisor.
• Maintains appropriate log sheets and records and generates reports needed for efficient operation of unit.
• Maintains time-off request forms and files them in one location so that requests can be checked as needed.
• Prepares payroll timesheets and ensure timesheets are submitted in a timely manner.
• Maintains verbal communications between the unit and other departments in a professional and courteous manner.
• Performs other related duties as assigned.

Minimum Education and Experience

• Graduation from an accredited program in secretarial studies plus three years of full-time secretarial experience.
• An additional year of experience is required in lieu of the secretarial program.
• College credits may be substituted on a year-for-year basis for secretarial experience. Up to sixty credits may be substituted for two years of secretarial experience.

Required Knowledge, Skills, and Abilities

• Proficient in typing and word processing skills.
• Proficient in Microsoft Office (i.e. Word, Excel, PowerPoint, etc.).
• Good external and internal customer service skills.

Physical Demands and Work Environment

• Position requires moderate physical effort (lift/carry up to 50 pounds). Frequently prolonged sitting and data entry. Frequently talks and listens to people on the telephone, and intermittently walks, bends, stretches, pushes and pulls.

• The work environment is generally pleasant, clean, well-lit, quiet to moderately loud setting.
