Posting Summary

Rutgers, The State University of New Jersey is seeking a Department Administrator Supervisor for Rutgers Industrial and Systems Engineering. This position provides overall administrative and financial management and supervision of the daily operations and performance of the department, and has management oversight of its related research centers. Among the key duties of this position are the following:

• Serves as principal departmental liaison for facilities, personnel, and business and financial matters with the School of Engineering Dean’s Office, other university offices, and external stakeholders such as department’s corporate/ industrial associates and advisory board members.
• Supervises all business operations and business processes for the unit; develops plans for, restructures and implements processes for improved service and efficiency that are based on established or developed benchmarks, an accurate understanding and interpretation of university policies, and department demands.
• Manages all fiscal and budgetary aspects of department operations, prepares the annual department operating budget, and develops and implements revenue and spending plans for all department and center resources; these resources include unrestricted funds as well as research, gift and other restricted funding.
• Supports faculty pre-award research activities, especially in the development of budgeting and personnel plans, and monitors post award activity, in particular cost share agreements and effort reporting.
• Assists with short and long term strategic planning including preparation of statistical and other data to inform planning decisions, analysis of activities to ensure consistency with strategic goals, communication with external stakeholders, including industrial partners and corporate representatives, as directed by the chair, coordination and participation in planning meetings and activities.
• Supervises staff who support research faculty of affiliated centers, and works closely with the Department Chair, faculty and Dean’s Office on programs to encourage and support faculty research activity.
• Works closely with the Office of Engineering Research on post award activities for faculty and with staff in the Office of the VP Research as necessary.

Qualifications

Minimum Education and Experience

• Requires a minimum of a bachelor’s degree in accounting, finance, business administration, or related field; or an equivalent combination of education and/or experience that demonstrates comprehensive knowledge and understanding of general accounting principles and practices, office administration, work organization, coordination, facilitation, bookkeeping, and/or report writing.
• Also requires a minimum of two years of relevant professional experience in a financial/accounting/business function and managerial/supervisory experience.

Required Knowledge, Skills, and Abilities

• Requires excellent communication skills, and computer literacy.

Preferred Qualifications

• An MBA and a degree in an engineering or engineering technology discipline is strongly preferred.

Equipment Utilized

• Microsoft Office, database and statistical applications, RIAS, HCM, Discover, ARS and other Rutgers applications as needed.
