Posting Summary

Rutgers, The State University of New Jersey is seeking a Secretary I – Confidential, for the Office of the Dean at Rutgers Robert Wood Johnson Medical School. Reports to the Executive Assistant.

As the executive level secretary, provides high-level, confidential secretarial services and assists with the administrative activities within the RWJMS Administrative Office. Coordinates the activities for assigned projects and programs.

• Regularly coordinates meetings and arranges programs, events, committees, projects and/or conferences, including arranging for facilities and caterers, issuing information and invitations, coordinating speakers, and tracking event budget.
• Orders all supplies and equipment, tracks all expenses and assists with other administrative tasks, as needed.
• Provides strong customer service to all entities that interface with the RWJMS Dean’s Office, including direct reports to supervisors, Rutgers departments, consumers and families, outside entities,such as service providers, state and county departments, trade associations, etc.
• Oversees or makes detailed travel arrangements for supervisors and other department personnel, compiling documents for travel-related meetings.
• Coordinates and conciliates monthly management reports and department level submissions of budgets and other projects, which need to be consolidated.
• Performs other related duties as assigned.

Minimum Education and Experience

• Graduation from an accredited program in secretarial studies, plus four (4) years of full-time secretarial experience, is required.
• An additional year of experience is required in lieu of the secretarial program.
• College credits may be substituted on a year-for-year basis for secretarial experience. Up to sixty (60) credits may be substituted for two (2) years of secretarial experience.

Required Knowledge, Skills, and Abilities

• Requires proficiency in typing and experience with word processing packages and additional software packages, as required by the department.
• Demonstrated interpersonal skills required.

• Physical Demands: Standing, sitting, walking, talking or hearing. No special vision requirements. Must be able to lift or exert up to 25 pounds.
