Posting Summary

Rutgers, The State University of New Jersey, is seeking an Administrative Assistant to report to the Administrative Coordinator and upwardly to the Associate Director within the Office of the Director of Rutgers Cooperative Extension (RCE). This position provides thoroughly seasoned and diversified administrative support consistent with a basic understanding of the mission, vision, role and goals of the Department. Among the key duties of this position are the following:

• Organizes, coordinates and performs complex, diversified and confidential administrative duties that require discretion for the Office of the Director of RCE.
• Researches, analyzes, and composes reports as appropriate for the Office of the Director of RCE.
• Provides complex and confidential administrative support for the Director of Leadership and Organizational Development (LOD) and the Sr. Program Coordinator of the New Brunswick Community Farmers’ Market, which includes the preparation of educational materials, documents, and reports.
• Performs all functions of a meeting planner in scheduling educational seminars, conferences for statewide programs and international study trip(s) including fiscal management of the same.
• Schedules appointments, meetings, Conference Room, and makes travel arrangements and responsible for the maintenance of the Director of LOD’s electronic calendar.
• Provides fiscal management for Office of the Director of RCE, including purchase orders, billheads, travel, expenses and check transmittals and enters information into Cornerstone: RU Marketplace (SciQuest) and Expense Management (Oracle).
• Ensures and manages reliable access to materials and information necessary for performing the essential, complex duties and responsibilities of the Office of the Director.

Minimum Education and Experience

• Requires a bachelor’s degree in a related field, or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of position.
• Also requires two years related administrative experience.

Required Knowledge, Skills, and Abilities

• A self-reliant, detailed focused, independent thinker, with a high degree of self-motivation is required.
• Valid New Jersey State Driver’s License and successful completion of the New Jersey State Defensive Driving Course required.
• Requires research, statistical, and evaluative report and administrative writing skills.
• Exceptional organizational, communication, public speaking, interpersonal, and computer skills required.
• Must have ability to manage priorities, and adhere to tight deadlines.
• Must also have ability to be objective, think logically and make rational decisions and implement them in an efficient and effective manner.
• Must be proficient with Microsoft Office Suite.

Preferred Qualifications

• General knowledge of the land grant system and experience within a higher education administrative unit preferred.
• Familiarity with Rutgers University Cornerstone Systems and experience or knowledge of University personnel and financial procedures.

Equipment Utilized

• Demonstrated computer skills and proficiency using Windows XP, MS Office suite (Word, Excel, PowerPoint), Outlook and Internet Explorer.
• Daily use of Cornerstone applications RU Marketplace (SciQuest) and Expense Management (Oracle), phone, fax, copy, and mail meter machines expected.
