Posting Summary

Rutgers, The State University of New Jersey, is seeking a Coordinator – Shipping and Receiving to report to Head of Access and Delivery Services, within the New Brunswick Libraries Shipping and Receiving Department. This position is responsible for administering activities including managing and supervising the staff of the department and recommending policy modifications, equipment purchases, vendor changes, etc. to the Department Head. The unit handles local delivery of materials requested by Rutgers students, faculty, and staff to their campus libraries, and state, national, and international delivery of interlibrary loan materials to Rutgers resource sharing partner libraries. Among the key duties of this position are the following:

• Plans, organizes, and manages material delivery among all Rutgers University library units throughout New Jersey, mail service to and from the University postal facility, and deliveries to the US Post Office in Piscataway and New Brunswick and other common carrier delivery services.
• Schedules and develops delivery procedures.
• Coordinates and monitors courier service among the library units and offices in New Brunswick.
• Supervises 2 full time (COLT) employees and 2 part time employees directly involved with the Materials Delivery Service.
• Oversees and coordinates staff performing related tasks such as minor repairs, installation of office equipment and furniture, or other maintenance tasks in support of University Libraries service goals.
• Exchanges mail with Campus Mail and couriers from Newark and Camden on a daily basis.
• Monitors mailroom supplies, including postage meter funds, packing materials, general office supplies; provides Dana, Smith, and Robeson libraries with some packing supplies; reorrdders or requests funds as needed.
• Sorts and delivers incoming UPS, FedEx, and other mail within New Brunswick libraries.
• Updates libraries if there are any changes to the daily delivery schedule.
• Other duties and tasks as assigned.

Qualifications

Minimum Education and Experience

• Bachelor’s degree in library, library-related, clerical or related field, or an equivalent combination of education and/or experience.

Required Knowledge, Skills, and Abilities

• Must have valid NJ driver’s license and minimum two years driving experience.
• Will be required to complete Rutgers Defensive Driving course

Preferred Qualifications

• Knowledge of UPS, USPS, and other online shipping portals preferred
• Five years of mail room and/or library experience
• Two years of supervisory experience

Equipment Utilized

• Drives a van; loads, unloads, and delivers with assorted carts and dollies
• Operates computers, printers, and scales
• Uses Microsoft Office Suite (Word, Excel, Outlook email) and other programs for writing, communicating, tracking, gathering statistics, printing labels, etc.
• Uses online portals for mailing services

Physical Demands and Work Environment

Must be able to
