Posting Summary

Rutgers, The State University of New Jersey, is seeking an Senior Administrative Assistant to provide support to the Assistant Dean, Director of the Office of Transfer Student Services, SAS. This position is responsible for managing, coordinating, and participating in the SAS Transfer Center Credit Evaluation Process. Among the key duties of this position are the following:

• Communicates with students, deans, faculty, and administration to resolve issues and obtain information and ensures that all parties are performing their respective duties on a timely basis.
• Creates letters, emails, and information materials and ensures that students are kept informed about the progress of their credit evaluations and any open issues.
• Evaluates transcripts from NJ Community Colleges for course credit at SAS and confirms compliance with the NJ Statewide Transfer Act and University and SAS policies.
• Respond to inquiries from new transfer students regarding the intricacies involved in their acceptance at SAS.
• Coordinates and oversee the planning, logistics, scheduling, and actions for the School to School Transfer Process and the School to School Re-enrollment Process.
• Assesses of the day-to-day operational functions requiring some procedural adjustments and redistribution of work to ensure backloads do not occur and to meet all goals and objectives.
• Supervises Student Workers and Work Study Students.
• Communicates with applicants and coordinates with the sending schools (SEBS, SOE, RBS, etc), the registrar, and other university offices and advises policies and procedures, including how transfer courses are reviewed for credit at SAS and how they relate to SAS course requirements for graduation.
• Perform other duties as assigned.

Minimum Education and Experience

• Requires a bachelor’s degree in related field, or an equivalent combination of education and/or experience.
• Also requires a minimum of two years relevant experience in an academic administrative setting.

Required Knowledge, Skills, and Abilities

• Requires excellent communication skills and the ability to prioritize multiple tasks and meet deadlines.
• Must demonstrate knowledge and understanding of office administration, organization, coordination and computer literacy.
• Must be willing to work some evenings and occasional weekends.

Preferred Qualifications

• Prior experience working in an academic advising office.
• Prior experience in review, interpretation, and application of academic course and degree requirement review procedures and policies.

Equipment Utilized

Microsoft Office Suite, IMS, Perceptive Content/Image Now, Degree Navigator, and various Transfer Center databases

Physical Demands and Work Environment

• Ability to travel to all Rutgers-NB campuses.
• Ability to lift and carry up to 25 lbs.
• Buildings and offices may be accessible only via stairs.
