Posting Summary

Rutgers, The State University of New Jersey, is seeking a Program Coordinator I for Professional Development Studies (PDS), the continuing education unit of the School of Communication and Information (SC&I). This position reports to the Director of PDS and provides overall administrative coordination of programs, projects, and students. Among the key duties of this position are the following:
• Oversees details of the daily operations, and serves as a liaison for the unit and resolves a diverse range of problems and needs.
• Monitors the budgetary process including, but not limited to, creating purchase orders, handling/processing registration fees, and keeping expenses within budget.
• Assists the Director in evaluating systems or processes that are not effective or that may not need to be duplicated to streamline efforts and increase efficiency.
• Coordinates department-associated events and conferences in which PDS has opted to have a presence and represents the department when needed.
• Provides ongoing and timely support for students’ varying needs (self-pay, student loans, One Stop Career Center, military, government, and corporate) including answering questions from potential students about courses and programs, general advising on financial options and discounts, and providing course options and group discounts.
• Completes reports and processing of department data and documents are given a high level of priority so as to ensure an effective and efficient operation.
• Assists in developing clear, engaging, and accurate course catalogs, online course descriptions, and related documents to disseminate to target audiences. Outreach can include, but is not limited to: emails, mailings, website landing pages, information sessions, open houses, etc.
• Offers targeted conference support (ANCOR registration and ScholarChip refund assistance) to SC&I faculty and student organizations throughout the year.

Minimum Education and Experience

• Requires a bachelor’s degree in a related field; or an equivalent combination of education and/or experience that demonstrates comprehensive knowledge and understanding of program design, coordination, and promotion/outreach.
• Two years relevant experience in program coordination and administrative function within a higher education setting

Required Knowledge, Skills, and Abilities

• Excellent customer service skills
• Outstanding communication skills (both oral and written)
• Computer proficiency (MS Office and other industry-standard software)

• University systems such as RU MarketPlace, ScholarChip, and ANCOR
• TargetX/Salesforce or other client management system
BASECAMP or other similar project management systems
• Online learning systems such as eCollege and Canvas
• Collaborative documents and programs such as wikis, GoogleDocs, and MS Planner.

Physical Demands and Work Environment

• Must be able to lift boxes of about 10 lbs.
• Must be able to get to sites on campus and off-campus to help facilitate programs, including room set-up.
