Rutgers University Behavioral Health Care (UBHC), established in 1971, offers a full continuum of evidence based behavioral health and addiction services for children, adolescents, adults, and seniors throughout New Jersey. UBHC’s 1,060 experienced behavioral health professionals and support staff are dedicated to treatment, prevention, and education. UBHC, one of the largest providers of behavioral health care in the country, has a budget of $260 million and has 15 sites throughout New Jersey. Services are readily accessible and include: inpatient, outpatient, partial hospitalization, screening, crisis stabilization, family/caregiver support, community outreach and case management, supportive housing, supported employment, prevention and consultation, employee assistance programs, and a licensed therapeutic school from preschool through high school. Specialty services include the New Jersey suicide prevention helpline and peer help lines for police, veterans, active military, teachers, mothers of special needs children and child protective service workers. In FY2016, UBHC treated 16,199 consumers, had 24,502 admissions, and touched the lives of 19,441 individual callers through peer support. In addition, UBHC is the primary mental health training resource for the New Jersey departments of Human Services, Children and Families, and Corrections, delivering 16,000 trainings each year.

Posting Summary

Rutgers University Behavioral Health Care is seeking a Secretary III to work in the Partial Hospitalization Program – Child & Adolescent Services. The Secretary III, under the supervision of the Office Manager, provides administrative and general office services to the Unit.

• Coordinates meeting arrangements, notifies participants of meetings, and prepares and distributes minutes using the Joint Commission format.
• Maintains appropriate log sheets, maintains records, and generates reports needed for efficient operation of Unit.
• Completes appropriate internal paperwork required by Unit, UBHC, and the University.
• Receives and assists clients and visitors and handles telephone calls in a professional and helpful manner.
• Maintains an accurate filing system to meet the needs of the Unit.
• Handles internal and external mail for Unit, performs assigned xeroxing, collating, and distribution of material required by Unit, and maintains office supplies and equipment necessary for efficient functioning of Unit.
• Serves as liaison between Unit and internal and external agencies.
• Supports goals and objectives of UBHC and meets all annual requirements.

Minimum Education and Experience

Graduation from an accredited program in secretarial studies plus two (2) years of full-time secretarial experience. An additional year of experience is required in lieu of the secretarial program.

College credits may be substituted on a year-for-year basis for secretarial experience. Up to sixty (60) credits may be substituted for two (2) years of secretarial experience.

Required Knowledge, Skills, and Abilities

Proficiency in typing and word processing skills required. Must have knowledge of Microsoft Office. Demonstrated excellent telephone and customer service skills. May be required to work flexible hours to provide coverage of UBHC scheduling functions. Demonstrated ability to handle multiple tasks accurately in a fast paced environment.
