Posting Summary

Rutgers, The State University of New Jersey, is seeking a Secretarial Assistant III – Atlantic County for the EFNEP and SNAP-Ed program. This position reports to the Program Associate I of Atlantic County’s Expanded Food and Nutrition Education Program (EFNEP) and Supplemental Nutrition Assistance Program – Education (SNAP-Ed) work unit, this position will provide administrative support for the EFNEP and SNAP-Ed program.
Responsibilities include, but are not limited to:
• Ensures the timely entry of program data into WebNEERS (a federal data system) and other internal program data systems.
• Drafting/assembling monthly and annual program impact reports; personnel file management; compiling and submitting all necessary administrative paperwork as directed by supervisor; and updating and reconciliation of staff absence records.
• If a food pantry is established in the work unit to provide food samples to program participants, the position will be responsible for managing the inventory and stocking it as needed.
• Creates, maintains, updates and manages database files, office and educational material files; monthly contacts with specific partnering agencies to obtain information regarding resources available to low-income people; and for assisting with other EFNEP and SNAP-Ed activities, as needed, including making logistical arrangements for meetings.

Qualifications

Minimum Education and Experience

•Requires a high school/vocational school education or equivalent, plus one of the following:
a) Four years secretarial experience
b) One year college level study plus three years of any equivalent combination of: secretarial experience, advanced secretarial training, or clerical experience, provided secretarial experience accounts for at least one year of any such combination
c) An equivalent combination of secretarial experience and up to two years advanced secretarial training.
•Requires demonstrated data entry/word-processing/typing skills and working knowledge and the ability to use basic spreadsheet, word-processing, database software, and/or email.
•Must be able to communicate effectively.
•Must have effective client service skills.
•May require shorthand, stenographic, and/or machine transcription skills.

Required Knowledge, Skills, and Abilities

• Requires demonstrated data entry/word-processing/typing skills and working knowledge and the ability to use basic spreadsheet, word-processing, database software, and email (Word, Excel, Access, Outlook). Possess the ability to communicate effectively verbally and virtually.
• Must have effective client service skills.
• Must be able to do machine transcriptions.
• Must have ability and willingness to travel to meetings and provide assistance with assessment activities.
• Must have ability to work with individuals of all levels of management.
• Must possess a valid driver’s license and vehicle for use to travel as needed to shop for program supplies, typically at local grocery stores.
• Must be able to routinely lift up to 35 pounds (i.e., program supplies and food).
• Must be able to maintain confidentiality.

Preferred Qualifications

•Knowledge of Cornerstone and TABER expense management.
•Familiarity with grants and governmental agencies.
